I. Overview

The Property Manager is responsible for the daily operations of the self-storage facility, ensuring a clean, safe, and efficient environment for tenants. This role involves a variety of tasks, from administrative duties and financial management to property maintenance and customer service.

II. Key Responsibilities

Daily Office Procedures:

  • Log into Tenant Management System and perform cash counts (A.M. and P.M.), recording them on the “MANAGEMENT DASHBOARD”.
  • Review and respond to emails from tenants, other facilities, or the corporate office.
  • Check for Echo Notifications and voicemails, returning calls promptly to address tenant requests.
  • Clean the customer bathroom and ensure the front entrance is clean and free of debris.

Reporting and Financial Management:

  • Generate and print “BEGINNING OF THE DAY” reports, including LOCK ACTION and AVAILABLE UNITS reports.
  • Print the “DAILY WALK AROUND” report.
  • Ensure checks are copied, scanned, and uploaded to the Deposit record in the Tenant Management System.
  • Perform daily bank deposits, ensuring totals match payment receipts. Alert Corporate immediately if discrepancies occur.

Property Maintenance and Security:

  • Conduct daily walk-arounds of the property, checking for units needing cleaning, sweeping hallways, and wiping down walls.
  • Identify and report maintenance issues using the Maintenance Request Form.
  • Perform “Lock Action” by overlocking and unlocking units as per reports, completing corresponding Work Orders in Tenant Management System.
  • Ensure gate software is running correctly.
  • Check customer bathrooms for cleanliness and stock supplies.
  • Address safety issues on the property and add them to the maintenance list.
  • Inspect unlocked and untagged units; if customer items are present, secure the unit with a yellow lock, contact the customer, and fill out the Improperly Locked Unit form.

Customer Service and Collections:

  • Address collections daily to maintain a delinquency rate of 10% or less, contacting all customers on the COLLECTIONS worksheet.
  • Contact alternate persons for tenants 15+ days late if the primary contact is unreachable.
  • Maintain tenant privacy by not disclosing account information to unauthorized individuals.
  • File receipts for cash, check, or in-person credit card payments in the appropriate unit file and record on the ledger card.

Rentals:

  • Adhere to the rental agreement “script” and pay close attention to proper signature placement on all legal paperwork.

Closing Procedures:

  • Process all payments and file receipts.
  • Verify cash and check totals, listing “on hand” cash, coin, and checks on the deposit ticket.
  • Complete the End of Day Lock Action Report.
  • Confirm gate software is running.
  • Charge the facility cell phone.
  • Create a deposit in the Tenant Management System.
  • Log out of Tenant Management System.
  • Turn off lights and lock the personnel gate.
  • Perform a perimeter check of the property, ensuring all hallway doors are shut.
  • Clock out in Paychex and lock the main door.

Miscellaneous Tasks (As Needed):

  • File receipts and update ledger cards.
  • Walk halls/dust mop.
  • Check the outside bathroom.
  • Clean move-out units and place green tags for move-in readiness.
  • Clean the office door, outside bathroom door, and hall doors.
  • Dust pictures, mirrors, and conference tables.
  • Dust blinds, window ledges, and clean windows.
  • Blow/sweep the front walkway.
  • Make move-in packets.
  • Verify inventory periodically.
  • Blow leaves on the property as needed.

III. Physical Requirements

  • General: Lifting, standing for long periods, and working outdoors.
  • Daily Walk-Arounds: Inspecting units, sweeping hallways, wiping down walls, and checking for maintenance issues. This requires the ability to walk for extended periods and navigate various areas of the facility.
